HR1 CREW Constitution

1. Purpose and Identity

HR1 CREW is a non-profit social and recreational community for airsoft, gaming, and outdoor enthusiasts based in Herefordshire. The Crew promotes teamwork, positivity, inclusion, and mental well-being across both physical and online activities.

All members are expected to uphold the values of respect, responsibility, and fair play, and to represent HR1 CREW with integrity at all times.

2. Leadership and Governance

The governing body of HR1 CREW is the Committee, responsible for administration, finance, membership, and conduct.

The Committee oversees all Crew operations, maintains transparency, and makes decisions by majority vote. In the event of a tie, the Chairman holds the casting vote.

3. Membership

3.1 Eligibility

Membership is open to individuals aged 18 and above.

3.2 Tiers

HR1 CREW currently operates a single membership tier. Additional tiers may be introduced by the Committee as the community evolves.

3.3 Registration and Access

Website accounts are granted upon manual approval by the Committee or designated administrators. Once an account is approved, members may purchase paid membership tiers through the website. Successful payment confirms membership automatically.

3.4 Expectations

Members must maintain good standing, contribute positively to the Crew environment, and follow all rules, safety standards, and conduct expectations set by the Committee.

3.5 Termination

Membership may end through:

  • Voluntary resignation;
  • Non-payment of fees; or
  • Disciplinary action (see Section 6).

4. Fees and Finance

  • Membership fees are determined by the Committee and paid exclusively through the official website.
  • All Crew funds are held in the HR1 CREW bank account.
  • The Treasurer maintains transparent financial records and reports directly to the Committee.
  • Any surplus funds are used solely for Crew activities and operations.
  • No profits shall be distributed to any individual.

5. Data Protection

HR1 CREW complies with UK GDPR and the Data Protection Act 2018.

  • Member names may be shared only where necessary for event organisation, team coordination, or other Crew operations.
  • Addresses, payment information, and other personal data remain confidential.
  • Member data will never be sold or transferred outside HR1 CREW activities.
  • Members may request removal of their data upon resignation.
  • Data is deleted or anonymised when no longer required for operational purposes.

6. Conduct and Discipline

HR1 CREW expects all members to behave with integrity, respect, accountability, and consideration for others’ safety and wellbeing.

On the rare occasion that the Committee must take action regarding a member’s behaviour, the following process will apply where possible:

  1. Warning — For minor breaches, a verbal or written warning will be issued.
  2. Suspension — For serious or repeated issues, membership may be temporarily suspended while the Committee conducts a review.
  3. Expulsion — In severe circumstances, including conduct likely to endanger others or damage HR1 CREW’s reputation, the Committee may immediately expel the member.

All decisions are made with fairness, discretion, and due regard for both the member’s wellbeing and the Crew’s collective integrity.

7. Complaints

Any member may raise a concern or complaint by submitting it in writing to the Secretary. Complaints will be reviewed by the Committee promptly and resolved through fair discussion and a recorded decision. Where appropriate, outcomes may be shared with involved parties in confidence.

8. Meetings and Governance

The Committee will meet regularly, both in person and online, to oversee Crew operations, finances, and member welfare. An annual review may be shared with members summarising the year’s activities and objectives. Members may submit proposals or issues through the Secretary for consideration at a Committee meeting.

9. Amendments

This Constitution may be amended by majority vote of the Committee. Updated versions will be published on the website and replace previous editions immediately upon release.

10. Declaration

By joining HR1 CREW, each member confirms they have read, understood, and agreed to this Constitution and all associated rules, policies, and standards of conduct.
